Lease Renewal Season: Keeping Good Tenants When Contracts End
The cheapest lease you will ever sign is the renewal. There is no marketing, no viewing, no void and no move-in cleaning. Yet many operators treat renewals as an afterthought, sending a new price a few weeks before the end date and hoping for the best.
That is risky in 2026. In Spain, more than 630,000 rental contracts are due to end this year, affecting over 1.5 million people, according to official estimates. In England, the Renters' Rights Act has changed how rent increases work since 1 May 2026. Across the market, renewal season is now a test of process.
Know what a move-out really costs
Before deciding how hard to push on price, put a number on a move-out. Add the void days, the cleaning and repairs, the marketing, the viewings, the onboarding time and the risk that the replacement pays less or later. In most buildings that number comfortably exceeds a modest rent increase. That should shape every renewal conversation.
Market rents are also not rising everywhere. HousingAnywhere's index found furnished room rents across 25 European cities down 4.6% year on year in the second quarter of 2026. A renewal price set above the market invites the resident to test it.
Run renewals on a 90-day timeline
Renewals go best when they start early and follow a fixed rhythm:
- Day 90 before end: flag the tenancy and review payment history, maintenance requests and any complaints.
- Day 75: decide the renewal offer and check it against local rules on rent increases.
- Day 60: send the offer, with the new rent, term options and a one-click way to accept.
- Day 45: follow up personally with anyone who has not replied.
- Day 30: confirm the outcome. If the resident leaves, start marketing the unit at once.
Set rent reviews within the rules
Rent increase rules differ widely and keep changing. In England, rent increases for assured tenancies are now limited to once a year through the statutory process. From 1 May 2026, contractual rent review clauses, whether fixed or index-linked, are no longer enforceable for those tenancies. Elsewhere, indexation caps, rent control zones and temporary-lease rules all affect what you can offer. Build the rules for each market into your renewal template, so nobody has to remember them under pressure.
Do not make renewing harder than leaving
If a renewal means re-sending documents and waiting for a paper contract, some residents will simply leave. Re-verify only what has changed, such as a new employer or a new guarantor, and keep the rest of the original verification on file. Send the renewal as a short contract amendment the resident can sign on a phone in minutes.
Keep payments running without a gap
The renewal should change the amount and the end date, not the payment method. If rent is collected by recurring account-to-account payment, each monthly payment request simply carries the new amount from the agreed date, and the resident approves it in their banking app as before.
Learn from the ones who leave
Ask every departing resident one question: what would have made you stay? Over a year, the answers tell you more about your product and pricing than any market report.
