The Ideal Tech Stack for a Flex Living Operator
Flex living sits between hospitality and residential, and so does its technology. An operator might sell a two-week corporate stay, a four-month relocation and a nine-month lease in the same building, sometimes to the same resident as their plans change. Hotel software handles nights well and contracts badly. Residential software handles contracts well and nights badly. Choosing a flex living stack is mostly about deciding where on that spectrum your business sits.
This guide is for operators launching a flex living product and for operators moving off a stack that was built for something else. For the business side, see how to launch a flex living operation.
What makes a flex living stack different
- Mixed stay lengths: nights, weeks and months, sometimes in the same unit.
- Legal basis per stay: short-stay registration, temporary leases or residential contracts, depending on the stay. See mid-term rentals under scrutiny.
- Remote arrivals: most residents book and check in without meeting anyone.
- Corporate payers: employers and relocation agencies paying for staff.
1. Property management system
| Option | Best for | Strengths | Watch-outs |
|---|---|---|---|
| Mews | Operators mixing short and long stays | Lets you sell long-stay, short-stay and daily-use in one PMS, with automated billing, digital guest journeys and contracts created and stored in the PMS | A hospitality-first platform, so check local residential contract requirements |
| Apaleo | Tech-led operators building their own stack | Open, API-first PMS used by serviced apartment brands such as limehome and numa. Reviewers rate it easier to use, with stronger support | Fewer built-in features, so you assemble more from its app marketplace |
| res:harmonics | Serviced apartments and coliving | Residential hospitality focus, with booking, billing and maintenance in one platform | Check fit for your markets' contract types |
| Homming | Spanish operators focused on stays of months | Built for medium and long-term rentals, with portal and accounting integrations | Not designed for nightly stays |
My view: if more than a third of your nights come from stays under a month, start from a hospitality PMS such as Mews or Apaleo. If almost everything is monthly, a residential system will fit your contracts better.
2. Channels
| Option | Strengths | Watch-outs |
|---|---|---|
| Your own website and booking engine | Margin, data and relationship stay with you | Needs demand generation |
| Short-stay platforms | Fill gaps between longer stays | Registration numbers are required on listings wherever a scheme exists, under EU Regulation 2024/1028 |
| HousingAnywhere, Spotahome | Monthly stays booked remotely, as these platform guides describe | Commission, and a mixed audience |
| Corporate relocation partners | Longer, well-paid stays | Need invoicing to companies. See B2B billing in flex living |
3. Revenue management
For nightly and weekly stays, dynamic pricing pays for itself. PriceLabs is widely used by aparthotels and rental operators, and Lighthouse offers revenue management and market data for hotels and apartments. For monthly stays, a clear stay-length grid usually matters more than daily price changes. See how to price rooms in coliving and flex living.
4. Identity, contracts and payments
This is where flex living wins or loses bookings, and where UrbanPay matters most. A corporate client wants a firm yes within a day, and the resident wants keys on arrival.
| Approach | Strengths | Watch-outs |
|---|---|---|
| Card payments through the PMS or a processor | Familiar for short stays | Card fees on long stays add up, chargebacks on large prepayments, and no verification or contract in the same step |
| Bank transfers | Low cost for long stays | Slow, hard to match, and no confirmation before arrival |
| UrbanPay | Verification, contract with the right legal basis, and first payment completed remotely before arrival | Euro payments from the 19-plus European markets covered. Keep cards or another route for payers who bank elsewhere |
With UrbanPay, residents are verified remotely through KYC, and corporate payers through KYB. The contract, with the stay's reason and term written in, is signed through UrbanPaySign. The first payment is collected by account-to-account transfer and reconciled to the unit. Extensions are signed as amendments. How to digitise tenant onboarding walks through the full sequence.
5. Access control
| Option | Strengths | Watch-outs |
|---|---|---|
| Akiles | Mobile keys and offline PIN codes, used across European rentals | Mainly European focus |
| Salto KS | Cloud access with central real-time control across properties | Larger hardware project |
Connect access to your PMS so that codes are issued automatically once verification, contract and payment are done.
6. Housekeeping, maintenance and accounting
- Housekeeping and maintenance: most hospitality PMS include task management. Add a specialist only when volumes demand it.
- Accounting: Odoo or Xero, or a local tool such as Holded or Pennylane, with one ledger per entity and corporate invoicing that meets local e-invoicing rules.
Recommended stacks by stage
| Layer | First building | Portfolio |
|---|---|---|
| PMS | Mews, Apaleo or Homming, depending on stay mix | Same, with multi-property set-up |
| Channels | Own site plus one monthly-stay marketplace | Add corporate partners and short-stay platforms |
| Revenue management | Stay-length grid | PriceLabs or Lighthouse for short stays |
| Identity, contracts, payments | UrbanPay dashboard | UrbanPay via API and webhooks |
| Access | Akiles or Salto KS | Integrated with the PMS |
| Accounting | Odoo, Xero or local tool | One ledger per entity |
How to switch stacks safely
- Freeze new bookings in the old system on a fixed date, and run both in parallel until existing stays end or migrate.
- Move onboarding first. Verification, contracts and first payments can move to UrbanPay independently of the PMS.
- Re-check registration numbers and listings after any channel change.
- Migrate corporate clients with care, confirming invoicing details and purchase order references.
FAQ
What is the best PMS for flex living?
It depends on your stay mix. Hospitality platforms such as Mews and Apaleo suit operators with many short stays, while residential platforms such as Homming suit stays of several months.
Do flex living operators need revenue management software?
For nightly and weekly stays, usually yes. For monthly stays, a clear grid by stay length often delivers more than daily price changes.
How do flex living operators onboard residents remotely?
With remote identity verification, an e-signed contract that sets out the stay's legal basis, and a first payment collected and matched before arrival.
