The Ideal Tech Stack for a Coliving Operator

· Head of Living, UrbanPay6 min

Coliving looks simple from the outside: rooms, shared spaces and a monthly bill. Behind it sit room-level contracts, rotating residents, services bundled into the price, community programming and, as you grow, a separate company for almost every building. The software has to handle all of that without your team becoming the integration layer.

This guide is for founders opening their first coliving building and for operators who want to rebuild a stack that no longer scales. It follows the layers in how to build a living operator's tech stack, with the coliving-specific options and trade-offs.

What makes a coliving stack different

  • Room-level everything: contracts, pricing, payments and reconciliation by room, not by flat.
  • Turnover: stays of months rather than years, with frequent extensions and moves between rooms.
  • Bundled services: rent and services shown separately, which regulators increasingly expect. See coliving and regulation.
  • Many entities: each building often sits in its own company.
  • Community: events, shared-space bookings and messaging matter to retention.

1. Coliving property management system

Option Best for Strengths Watch-outs
res:harmonics Coliving and serviced apartment operators Designed for coliving and residential hospitality, with booking, billing and maintenance in one platform and an integration with Salto access control A hospitality-style system, so check fit for long residential contracts in your market
Lavanda Operators who want PMS and resident app together Dedicated coliving PMS with a lead-to-lease journey and a resident app for amenities, issues and community Check depth of local legal templates and accounting exports in your country
ColivHQ or TheHouseMonk Smaller and growing operators Built for shared living, with room and bed inventory, billing and tenant management Smaller vendors, so test support, roadmap and integrations carefully
Homming Spanish operators with mid and long stays Spanish rental platform managing more than 80,000 assets, focused on medium and long-term rentals, with portal and accounting integrations Less focused on community and hospitality-style operations

Artof.Co's review of coliving property management software is a useful starting point for a longer shortlist. My view: choose the PMS on three tests. Can it model rooms within flats? Can it run several legal entities? Does it have a documented API? Everything else can be added around it.

2. Demand channels

Option Strengths Watch-outs
Your own website and booking flow Lowest cost per booking, and you own the relationship Needs content and paid acquisition to start
Coliving.com Large coliving-specific marketplace aggregating independent operators Commission, and you share the spotlight with every other operator
HousingAnywhere, Spotahome Mid-term renters and international newcomers booking remotely, as guides to these platforms note Commission, and the audience is broader than coliving
Local portals such as Idealista Domestic demand and longer stays Less suited to selling community and services

3. Identity, contracts and payments

This is the layer that decides your back-office headcount, and it is where UrbanPay matters most. Every arrival, extension and room change needs verification, a signed contract and a payment matched to the right room and company.

Approach Strengths Watch-outs
Card processor plus separate ID and e-signature tools Familiar to residents Card fees on every month's rent, chargebacks, and three systems to reconcile per building
Bank transfers No software cost Free-text references, payments landing in the wrong entity, hours of manual matching
PMS payment module One system for staff Check cost, account-to-account support, and multi-entity handling
UrbanPay Verification, eIDAS signature and account-to-account collection in one flow, across buildings Euro payments from the 19-plus European markets covered. Keep a second route for payers who bank elsewhere

With UrbanPay, residents are verified remotely through KYC, and companies paying for staff through KYB. Contracts and amendments are signed through UrbanPaySign. Rent is collected by recurring account-to-account payment with no card fees or chargebacks. The multi-entity structure books each payment to the right room and the right company. Small teams use the dashboard with no integration, and larger ones connect through the API and signed webhooks.

4. Access control

Option Strengths Watch-outs
Akiles Built with coliving in mind: mobile keys, shared-space access, offline PIN codes and a management-system integration Mainly European focus
Salto KS Cloud access used across shared living and student housing, with central real-time control A larger hardware project, best planned at fit-out

5. Community and resident app

If your PMS has a good resident app, start there. Otherwise, tenant experience platforms such as Chainels offer coliving apps with events, amenity bookings and messaging. Keep community tools simple. The Coliving Report 2025 found operators moving towards basic services with community support rather than long programmes few people use.

6. Maintenance, pricing and accounting

  • Maintenance: the PMS module first, and Fixflo if you need contractor workflows and compliance tracking.
  • Pricing: a stay-length grid in the PMS is enough for most operators. If you also sell short stays, tools such as PriceLabs handle dynamic nightly pricing. See how to price rooms in coliving and flex living.
  • Accounting: Odoo or Xero, or a local tool such as Holded or Pennylane, with one ledger per company.

Recommended stacks by stage

Layer First building Five buildings or more
PMS Coliving PMS with an API, or Homming in Spain Coliving PMS with multi-entity support
Channels Own site plus one marketplace Own site first, marketplaces for reach
Identity, contracts, payments UrbanPay dashboard UrbanPay via API and webhooks
Access Akiles Akiles or Salto KS
Community PMS app PMS app or Chainels
Accounting Odoo, Xero or local tool Same, one ledger per entity

How to switch stacks without losing residents

  1. Start with the onboarding flow. Moving verification, contracts and payments to UrbanPay can happen independently of the PMS and removes the most manual work first.
  2. Migrate the PMS building by building, not all at once.
  3. Migrate between peak arrival months, and avoid moving residents' payment methods mid-contract without notice.
  4. Reconcile balances and deposits before the old system is switched off.
  5. Tell residents what changes for them in one clear message.

FAQ

What is the best property management software for coliving?

It depends on size and market. Dedicated coliving systems such as res:harmonics, Lavanda, ColivHQ or TheHouseMonk suit shared living, while Spanish operators with longer stays often use Homming. Test room-level modelling, multi-entity support and API quality.

Can a coliving operator start without a PMS?

For a handful of rooms, yes, with a spreadsheet and the UrbanPay dashboard. From the first full building, a PMS becomes worth it.

Which part of the coliving stack saves the most time?

The verification, contract and payment layer, because it runs for every arrival, extension and monthly rent payment.
